This Privacy Policy explains how Retro Motels Pty Ltd (ACN 700 480 011) trading as Retro Motel Collective ('RMC', 'we', 'us', 'our') collects, uses, stores, discloses and protects your personal information. We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who this policy applies to

This policy applies to personal information we collect about member motel operators and their staff, prospective members, suppliers and their representatives, and visitors to our website and member portal. It does not cover the privacy practices of member motels, suppliers, online travel agencies or other third parties, who each maintain their own policies.

2. What information we collect

The kinds of personal information we may collect include:

  • contact and identity details such as name, business name, email address, phone number and postal address;
  • property and operational information you provide via the member portal, including property details, licences, insurance details, contacts, photos and technology/connectivity information;
  • account and login credentials for the member portal;
  • billing and payment details, including direct debit information used to collect membership fees;
  • records of your communications and dealings with us; and
  • website and portal usage data, such as IP address, device and browser information, and analytics collected via cookies and similar technologies.

We only collect financial information at an individual property level where necessary to administer your membership. When we report or reference member financials more broadly, we do so only on an amalgamated basis across members, unless you give us written approval to do otherwise.

3. How we collect information

We collect personal information directly from you when you enquire about membership, enter an agreement with us, use the member portal, communicate with us, or make payments. We may also collect information from third parties such as suppliers, platforms and publicly available sources where it is reasonable and practicable to do so.

4. Why we collect and how we use it

We collect, hold and use personal information to:

  • provide our services, including group procurement, OTA and distribution negotiation, and revenue and marketing support;
  • negotiate and administer group arrangements with suppliers, platforms and service providers on behalf of members;
  • operate, secure and improve the member portal and our website;
  • administer memberships, process fees and manage accounts;
  • communicate with you about your membership, updates and opportunities; and
  • comply with our legal obligations.

5. Disclosure of personal information

We may disclose personal information to counterparties (such as suppliers, insurers, utilities and distribution platforms) as needed to negotiate and administer group arrangements, to our service providers (such as payment, hosting, analytics and technology providers), and to professional advisers. We may also disclose information where required or authorised by law. We do not sell your personal information.

Where we share member information with counterparties for negotiation, financial data is referenced as an amalgamation of members and not individual members, unless you have given written approval.

6. Overseas disclosure

Some of our service providers may store or process information outside Australia. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

7. Data security and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. We retain personal information only for as long as necessary for the purposes described in this policy or as required by law, after which we take reasonable steps to destroy or de-identify it.
